Job Description

Admin Coordinator (EHSQ) – Maternity Leave Coverage

Location: Vaughan, Ontario

Work Schedule: Hybrid (3 days in-office, 2 days remote)

Term: 15 months

NPL Canada is a leader in utility construction, delivering critical infrastructure safely and efficiently across the country. Our EHSQ&R team supports operations at every level—and we’re looking for a highly organized, detail-driven Coordinator to help keep everything running smoothly behind the scenes.

This role is best suited for someone who thrives in a fast-paced, structured environment, enjoys keeping things organized, and takes pride in being the person who ensures nothing falls through the cracks.

You do not need an EHSQ background - we’re looking for a strong administrator who can bring structure, consistency, and follow-through to the team.

What You’ll Be Doing

Coordinate training sessions, schedules, and tracking for employees across multiple teams

Maintain and organize documentation, records, and internal systems

Track and report on data using Excel and PowerPoint (training, compliance, safety metrics)

Support contractor onboarding and compliance tracking (documents, insurance, platforms)

Provide administrative support for audits, meetings, and company initiatives

Draft and distribute internal communications and updates

Manage data entry, follow-ups, and system updates across multiple platforms

Support special projects and help drive consistency across the team

What You Bring

1–3 years of experience in an administrative, coordinator, or support role

Exceptional organizational skills and ability to manage multiple priorities

Strong attention to detail and a high level of accuracy

Proactive mindset - you take ownership and follow things through to completion

Strong communication skills and comfort working with different teams and personalities

Advanced proficiency in Microsoft Office (especially Excel and PowerPoint)

Nice to Have (Not Required)

Experience in construction, utilities, or a field-based environment

Familiarity with systems such as Microsoft Office products

Exposure to compliance, training coordination, or reporting environments

Pay Transparency Statement

In accordance with Ontario’s Pay Transparency requirements, the expected compensation range for this role is $50,000 – $60,000 annually. Compensation will be determined based on the successful candidate’s skills, experience, and overall fit for the role.
