Project Oversight : Support Project Managers with all aspects of project administration from order processing to completion, helping ensure deadlines, budgets, and quality standards are met. Job Cost Management : Prepare job costing sheets, monitor expenses, and assist in maintaining GP forecasts to ensure project profitability. Site Verification : Coordinate and conduct occasional site visits ( up to 10% travel to sites across Canada ) to confirm project readiness and support installations. Supplier & Vendor Coordination : Confirm materials, manage PO creation, track deliveries, and ensure supplier relationships are optimized. Project Tracking : Monitor critical tasks, milestones, and deliver weekly progress reports to management. Client & Internal Communication:

Keep teams and clients updated, proactively resolve issues, and ensure smooth installations and deficiency closeouts. Safety & Compliance : Complete site safety paperwork and coordinate training as required while keeping up with relevant legislation and regulations. Cross-Functional

Collaboration: Partner with the Spaces Sales, Procurement, Development and the Finance Team to streamline operations, add value and estimating tasks. Process

Optimization & Improvement: Identify opportunities to enhance workflows and project efficiency.

YOUR BACKGROUND & QUALIFICATIONS

2–3 years of experience supporting projects as a Project Administrator or Project Coordinator in the construction or design-build industry. Proficient with

LabBuild ,

Smartsheet

or similar,

Gantt Charts ,

AutoCAD ,

Revit , and

Microsoft 365 tools

for project planning, scheduling, collaboration, and data management. Understanding of

WorkSafe

and safety regulations for job sites. A proactive, detail-oriented mindset and ability to thrive on dynamic, high-pressure projects. A

humble but hungry

attitude—willing to learn, collaborate, and take initiative. Strong communication, interpersonal, problem-solving, and organizational skills. NICE-TO-HAVES

Experience in laboratory, scientific, or logistics industries. Previous project coordination experience in the building/fit-out industry. Ability to read and interpret CAD drawings and shop specifications. OUR CORE VALUES
