About the Opportunity
Process bi-weekly and semi-monthly payrolls using UKG, including payroll setup, data loading, balancing, auditing, validation, and finalization of payroll cycles.
Process regular and off-cycle payrolls, including bonuses, retroactive payments, adjustments, corrections, and other payroll-related transactions.
Review and validate payroll inputs, including new hires, terminations, leaves of absence, benefit deductions, garnishments, taxable benefits, and other employee changes.
Conduct comprehensive payroll audits, reconciliations, and validation checks to ensure payroll accuracy, compliance, and timely processing.
Ensure appropriate payroll funding and coordinate with banking partners as required to facilitate payroll disbursements.
Review and approve finalized payrolls to ensure accuracy and completeness prior to processing.
Lead and support year-end payroll activities, including preparation, reconciliation, adjustments, and statutory filings such as T4s, RL-1s, T4As, WCB/CSST, EHT, QMD, MHT, and other applicable government requirements.
Manage the complete annual payroll year-end process, including taxable benefit calculations, pension adjustments, reconciliations, and required reporting.
Prepare payroll reports and analyses for Finance, Total Rewards, internal stakeholders, and internal or external audits.
Perform annual payroll system maintenance, including updating statutory rates, benefit rates, bank holidays, tax tables, and other government-mandated changes.
Support payroll tax compliance across all Canadian jurisdictions, including Quebec, and monitor legislative changes to identify required payroll, process, or system updates.
Maintain accurate and confidential employee payroll records and ensure payroll systems are kept current.
Support payroll system testing, upgrades, enhancements, implementations, and other technology-related initiatives.
Oversee the administration and processing of internal bonus and incentive programs.
Prepare and issue Records of Employment (ROEs) in accordance with applicable requirements.
Act as the primary payroll resource for government audits, inquiries, and requests for payroll-related information.
Serve as the primary backup for payroll preparation activities performed by the HR, Payroll & Benefits Coordinator.
Support acquisitions and organizational integrations by facilitating the onboarding and transition of additional employees onto the Canadian payroll.
Serve as a key resource for future payroll transformation initiatives, including the potential transition to a new payroll provider.
Deliver a high level of service while maintaining strict confidentiality and safeguarding sensitive employee payroll information.
Identify and implement opportunities for continuous improvement to payroll processes, controls, systems, and procedures as the Canadian workforce continues to grow.
About You
Secondary school diploma is required; post-secondary education in Payroll, Accounting, Business Administration, or a related discipline is preferred.
Minimum five years of progressive Canadian payroll experience within a complex, multi-jurisdictional environment.
Strong knowledge of Canadian payroll legislation, taxation, and compliance requirements across all provinces and territories, including Quebec.
Demonstrated expertise in Canadian payroll legislation, statutory requirements, and payroll compliance practices.
Experience with UKG and ADP is considered a strong asset, along with a demonstrated interest in supporting future payroll system projects and transformations.
Advanced proficiency in Microsoft Excel, with the ability to analyze, reconcile, and report on payroll data.
National Payroll Institute (NPI) Payroll Compliance Professional (PCP) or Payroll Leadership Professional (PLP) designation is strongly preferred.
Strong organizational and time-management skills, with the ability to manage competing priorities and consistently meet deadlines.
Exceptional attention to detail, accuracy, and analytical skills, combined with a strong understanding of payroll controls and compliance requirements.
Salary Range
$70,000.00 - $90,000.00 /year
You must currently reside within the Greater Toronto Area and be permitted to work in Canada to be considered for this opportunity.
The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company’s 401(k) retirement plan.
