Property Coordinator

Job Description

We are seeking a Property Coordinator to join a growing Property Management team supporting a portfolio of industrial properties across Quebec and Canada.

This position will primarily support the Montreal/Dorval portfolio and work closely with Property Managers and senior leadership. The role offers broad exposure to commercial property operations, tenant and vendor relations, contracts, financial administration, capital projects, inspections, and property management systems.

Key Responsibilities

Provide day-to-day administrative and operational support to Property Managers

Serve as a key point of contact for tenants, vendors, contractors, and service providers

Manage and track service contracts, construction contracts, purchase orders, and vendor documentation

Assist with RFPs, vendor selection, and contract administration

Support tenant improvements, move-ins, move-outs, and capital projects

Conduct and document property inspections

Coordinate responses to tenant complaints, service requests, and building issues

Follow up with vendors and contractors to ensure issues are resolved timely

Review, code, and process vendor invoices

Prepare utility billings and tenant reimbursements

Coordinate utility transfers and establish utility accounts

Assist with AP research, invoice questions, and follow-up

Support property budgets, owner reporting, and variance analysis

Track tenant and vendor insurance compliance and maintain certificates of insurance

Maintain accurate tenant, vendor, emergency contact, and property databases

Maintain property management files, records, and documentation

Manage administrative functions and work orders within Yardi/Yardi Elevate

Track equipment inspections, certifications, and other property compliance requirements

Support acquisitions, dispositions, and other portfolio-related projects

Assist with department-wide initiatives, process improvements, and SOP implementation

Required

1–2+ years of property management experience

Strong French communication skills ( 8.5/10 or higher )

Strong English communication skills

Valid driver's license and access to a reliable vehicle

Ability to work onsite initially and transition to 3 days onsite per week , including Mondays

Strong organizational skills and attention to detail

Ability to manage multiple priorities and competing deadlines

Professional and polished communication style

Comfortable communicating directly with tenants, vendors, and contractors

Strong diplomacy and relationship-management skills

Demonstrated ability to independently manage issues and follow them through to completion
